A venue the Sydney team hadn't seen, turned from workshop to stage in one day

The Sydney team confirmed Spigen Hall from our site survey and layouts, and we handled the midday changeover.

For Evolve Seoul, one auditorium ran a morning workshop and afternoon talks, and we sent the attendee list next day. monday.com's team in Sydney had never seen Spigen Hall, so it confirmed the venue from our site survey and layouts. We handled the midday changeover, the setup schedule, production within monday.com's logo rules, and the day itself.

Challenge

monday.com presented this as its first Evolve event in Korea. The APAC team in Sydney prepared it with monday.com's Korea lead over Slack, Figma, and weekly calls, but had not seen Spigen Hall, its first-choice venue, in person and wasn't sure the hall could also host a hands-on laptop workshop. monday.com's brand rules, which don't allow the logo in a single color, also had to fit what each item could actually be printed or finished with.

How it went

Behind the work

A venue the Sydney team hadn't seen

The monday.com team asked whether Spigen Hall would suit a laptop workshop and where its branding could go, so we offered to survey and measure the venue in person. After the visit, we shared photos, floor plans, decal spots, and maximum banner sizes in Figma. Having seen them, the monday.com team confirmed Spigen Hall and, instead of the B1 room our survey materials had suggested for the Masterclass, proposed putting tables in the auditorium's front free-seating area for the morning, then resetting it for afternoon talks. Of the spots we found, we used the B1 staircase for a 3.0×3.4m fabric backdrop and the glass railing for an ‘Evolve Seoul’ decal.

  2. Masterclass 워크숍

One auditorium, used twice in a day

Hosting a laptop workshop, then talks, in one auditorium meant deciding what went in and out when, so we first asked how the workshop would run to gauge internet and power needs. After the venue said its free Wi-Fi could slow when crowded, we set up a dedicated Masterclass internet line. We sent two table layouts, and the monday.com team chose the one with fewer seats. We agreed with the equipment vendor on morning-only power strips, cleared before the afternoon program, and timed the interpretation booth to go up after the workshop so installation noise wouldn't disturb it. The afternoon Evolve ran in the same auditorium, reset for talks.

When the logo can't go in one color

The monday.com team wanted a four-color logo on the pouches, so we first checked what the manufacturer could print. Non-woven fabric could take only one color, so we offered all black or no print; citing brand policy, the monday.com team dropped the print. For the leather tags we went with blind (no-ink) debossing, which the team had already called fine; when we checked it against the policy, the team confirmed it. Judging that a one-color 3D piece couldn't carry the logo's colors either, we replaced the planned 3D stage logo with white ‘Evolve Seoul’ 3D letters. On the day, they stood before the stage, and the side set pieces carried the full-color logo.

Setup that had to finish before registration

Masterclass registration opened at 9 a.m., so main setup had to finish first, and we planned vendor arrivals in time slots from 7 a.m. About two weeks out, we revisited the venue, checked the LED wall's size, and set the installation order: stair banner and registration backdrop first; LED, lighting, and presentation setup last. With no on-site parking, we planned for vendors to unload, then move their vehicles, with three staff directing traffic. On our recommendation, Spigen Hall's technical team, who knew the room, ran lighting, sound, and LED; we held a tech meeting with them in advance. On the day, the Masterclass started on schedule.

  5. 05

From badge numbers to the follow-up list

With sign-ups arriving until the last minute, we built check-in around pre-printed badges found by number. The day before, we added the late sign-ups the monday.com team sent and printed every badge, family name first, Korean style, numbered in Hangul and A–Z order. We shared the flow with the team (one person at check-in finds the number, two hand over badges) and added an on-site printer to the blank badges the monday.com team had requested. The day after the event, monday.com's Korea lead asked for the list sooner than planned to start follow-up at once, and that day we sent a combined morning and afternoon list with attendance marked.

monday.com handled promotion and attendee recruitment, the landing pages and event emails, and the presentation decks, and it chose the venue. The luggage tag engraving corner was the monday.com team's idea, and the team also handled the order form and board.
